Appreciation letters can be a great way of motivating team members. According to Maslow’s Hierarchy, job safety and self-actualization are significant aspects of employees’ lives. If employees are not satisfied with their work, it can decrease their motivation levels and, in turn, cause a decline in their work performance.
The supervisor’s job is to provide good and bad feedback to his employees. When the supervisor leaves the employees on them without giving proper work directions, low-quality work is produced. The employee’s skill levels and experience remain stationary. When there is no hope of advancement for the employee, they either become demotivated or resign from their designation.
Providing praise and compliments to employees for even their slightest actions can create a healthy relationship between the employee and employer. Who can send and receive appreciation letters?
Anyone in an organisation can praise an employee for their work. Employees can appreciate their employer, assistant, team member, or an employee working under them. Receiving compliments from a co-worker may not be a big deal, but it can create healthy work relationships and a sense of trust between colleagues.
Furthermore, getting recognized by an authority figure for work well done can be amazing. It is important for an employee to have a good relationship with their manager and supervisor and for a supervisor and manager to be on good terms with their employees. A healthy working environment means low-stress levels, more productivity, and, in turn, the better quality of work.
What do appreciation letters contain?
When writing appreciation letters, the sender must keep a few things in mind. They need to be polite and use positive words. Furthermore, the sender must be cautious of their designation and the receiver’s position in the organization, especially if the receiver has higher authority over the sender.
If the receiver is a supervisor or employer, the sender cannot compliment them for a job well done, as this may make the sender seem to be looking down on their manager. Instead, the employee should complement the manager for their polite way of dealing with their employees and show appreciation for the opportunities and skills the sender has learned from their manager.
Similarly, when a manager sends appreciation letters to their worker, the manager must create a sense of trust and satisfaction that both the sender and receiver can understand. Praise for work done in the past can also be seen as a way to motivate the employee to maintain a high level of work quality, as the employee is indirectly reminded of the standard of work required.
