It is important to write the warning letter professionally. The employee should know the reason for receiving the warning letter. Although a warning letter is considered a cruel or harsh act of the employer, it can also improve the employee if he takes it as a motivation.
Every employee is assigned different duties which he has to perform well. If the employee fails to perform his duties, the employer should meet the employee in person and ask him. A verbal warning can be issued if necessary.

How to write a warning letter?

This letter serves as a warning to you. From now onwards, you must ensure the timely completion of all tasks assigned to you. This is very important to maintain our client satisfaction.

#2 Lack of quality work
This letter serves as an official warning regarding the quality of your recent work. Over the past two months, many of your articles have been rejected by clients due to grammatical errors and a lack of research. Some of our clients have also complained about instances of plagiarism.
Considering your past performance, we are giving you another chance. However, if you continue to show an irresponsible attitude towards your writing tasks, we will be compelled to cancel our work contract.
Your immediate attention to this matter is required.
#3 Failed to achieve the results
I am writing to express my disappointment with your recent performance. You did not perform the work tasks exactly as directed. Consequently, you failed to achieve the results we were looking for. This has caused our progress graph to go down.
Although we appreciate employees who take initiative and can make independent decisions for the success of our organization, employees must always respect and follow direct orders. Therefore, in the future, you must always perform your tasks according to the instructions provided. Do not make any modifications without the management’s approval.

#4 Negligent Attitude
This letter serves as a formal warning against your negligent attitude towards work tasks. Your performance has not been up to the mark lately. We strongly discourage your careless attitude and expect you to show a noticeable improvement.

#5 Tardiness
This letter is a formal warning against your repeated tardiness at work. You often arrive late for your shifts as reported by your supervisor. As a result, you fail to fulfill your work responsibilities properly. Despite a previous verbal warning, you haven’t shown improvement.
To maintain a smooth flow of work, punctuality is extremely important. However, your tardiness has been causing inconvenience. Your team also feels disgruntled at your lack of discipline.
Please consider this as your final warning. From tomorrow, you must arrive at least 10 minutes before your shift starts. In the future, if you are late without a valid excuse or prior notice, there will be strict disciplinary action against you.
#6 Lack of consistency
I called you last Monday in my office and talked to you about your consistently poor performance. You pledged not to keep up with the pitiable routine. Your supervisor also spoke to you many times about your nonstop mistakes in accomplishing the assigned work adequately.
I am sorry to tell you that you have failed badly in keeping your promise. You are not working up to the criteria. Constant failures of proving your worth are not easy to neglect over and over again. You need employee training and afterward, we can think about working with you or otherwise accordingly. But still in the future, if you fail to follow the basics then it may result in instant dismissal from the Company.

#7 Late submission
You were assigned a task last week and it was mentioned that you were supposed to submit it by this Monday. Almost all the employees were given tasks on that day and their submissions were timely. But you didn’t show up on the submission day nor did you speak to me personally about the reason behind the late submission. Today you made a three-day late submission without uttering a word about it.
In terms of professionalism, it is called sheer negligence cum failure for not being able to accomplish the project on a given time. The company is not in favor of withstanding such misconduct as you have been doing this practice for some time.
You are strictly advised to provide the company with an explanation letter and give the reason for late submission within 24 hours. Also, attach a copy of this warning letter to it.
Nonfulfillment of the command will end in severe upshots. I hope that you will avoid such carelessness in the future.
