Not all visits to your favorite restaurants will end in delight and contentment with the quality of food and services. On many occasions, you will be dissatisfied and regret your decision because of several reasons, namely poor food hygiene, uncleanliness, or lack of professional services. You will become distasteful as your time and money are wasted.
Any irresponsible attitude regarding unhygienic scenarios within the premises of any restaurant or other food place should not go unnoticed. Henceforth, one should not let such terrible incidents go ignored, as other consumers will face the same unpleasantness, which has the potential to make one fall sick. Nonetheless, your approach should be to solve the problem, not just create an unnecessarily inflated hype or an undoable mess.
As you expect the restaurant management to show professionalism, you should also adhere to decorum while registering your complaint. To sound civil and genteel, opt for a complaint letter instead of verbal communication.
When writing a report, remember to stay precise and avoid a whining tone. Simply sticking to your subject—how the entire experience gave you any disadvantage—should be enough.
The focus points of your template should be somewhat like the following:
- Start with the date, name of the place, and your visit to it
- Specify your order and your expectations as per the restaurant’s menu
- How did you end up lodging a report against it
- The concerned manager’s reaction to it
- Request the concerned authorities to investigate the matter and take necessary actions

Dear Sir/Ma’am, [the concerned authority]
I am writing this letter with sheer disappointment owing to the experience my friends and I underwent at XYZ [restaurant’s name], and I would like to bring it to your attention. I am a regular customer of XYZ [restaurant’s name] located at [restaurant’s address], and I visit it almost every weekend to celebrate happy hours with my friends. We always pick one meal to order, but this time, we decided to go for its much-hyped midnight dinner deal.
Quite contrary to our expectations, we underwent a very bad experience, as the quality of the food was very poor. The chicken was overcooked, and it also smelled really bad, like it was rotten. The egg fried rice also smelled stinky, as it seemed expired. In our complaint, the manager [name of the manager on duty] did not admit his mistake but started arguing. However, he offered us the option to switch the order to anything else on the menu.
We decided not to order anything from there, and to our surprise, the staff handed us a bill. We had to pay the bill for the disgusting food we did not even eat.
I request you to investigate the whole matter and scrutinize the restaurant’s hygiene and quality standards so that no further displeasure occurs.
Sincerely,
XYZ
