A warning letter to employees to behave politely is a letter written by a boss, CEO, manager, or HR of the company. In this letter, the employee is addressed to correct his behavior and show professionalism towards other employees/colleagues.
The tone of this letter is strict, as it is intended to mend the employee’s change in behavior. The letter must highlight which action(s) compelled the draft of this document and what consequences the employee may face if workplace decorum is not maintained in the future.

Subject: Warning letter to behave politely
Dear John,
There is no exaggeration in saying that your behavior is inappropriate and lacking maturity and professionalism. Yesterday, I received a letter from your manager. It brought me into feelings of pain to read about your bad behavior in the office last week.
I learned that he had already warned you for misconduct with one of the female staff members. The most important fact that he described was that the situation was being handled until now, but an incident has made it beyond his control.
What went wrong with you on the 15th of April, 20XX? When sitting calmly, you started shouting at one of the most senior staff members in the presence of visitors and area managers. We value your work because you are one of the senior staff members of our company, and we strive hard to provide you with a comfortable environment in the office.
If there was anything wrong, you should have brought that to the notice of your immediate boss. Why did you lose your temper? What example are you setting for your juniors? Do you have any answer to defend your misconduct? Such an incident in a well-reputed company usually puts an employee on the brink of suspension or termination straight away.
However, considering your previous record, the company wants to give you another chance and warns you to behave politely with all staff members regardless of their rank. Consider this letter a serious and final warning from the company. If you fail to improve your behavior, you will be terminated.
We hope to see an improvement in your behavior.
Yours sincerely,
Anderson,

To,
Robert,

Subject: Warning letter to behave politely
Dear Robert,
This is with reference to your misbehavior and disability in complying with the discipline of the company and acting flagrantly, thereby causing embarrassment and unrest in the office. You were supposed to make your office a calm place for working, but you, through your behavior, showed that you were not able to comply with the instructions.
A day before yesterday, I received a letter from your branch that a junior staff member experienced misconduct from your side while he was presenting his project. You cut him off in the middle of his presentation, shouted at him, and criticized him hard over his performance while the whole staff was watching this. I was shocked to know about your unprofessional and disrespectful behavior.
I had already told all staff members that the office environment should be kept peaceful and calm to ensure the sharing of knowledge between senior and junior staff members. You, while yelling at your colleague during his presentation in front of the whole staff, destroyed that peaceful environment, thereby breaching discipline.
You are now being sent this letter, which is to be considered a final warning letter. You are warned to behave politely with all your colleagues. If we receive any further complaints about you, your services will be terminated with immediate effect, regardless of your good performance in the past. To us, discipline is of supreme importance.
I hope you will show us an improvement in your behavior.
Yours sincerely,
Anderson
